The Project – Perth Women and Babies Hospital
Webuild is delivering the design and construction of the Women and Babies Hospital in Perth, Western Australia.
This landmark project will replace the century-old King Edward Memorial Hospital, expanding services and choice for women, newborns and families while delivering long-lasting benefits and a positive legacy for the people of Western Australia.
About the Opportunity
We have exciting opportunities for experienced Site Document Controllers to join the Perth Women and Babies Hospital project team.
Supporting the delivery of one of Western Australia's most significant healthcare infrastructure projects, these site-based roles will be responsible for ensuring project documentation is managed, controlled and distributed in accordance with project and company requirements.
We currently have two opportunities available, with one role based at Osborne Park and one role based at Murdoch. Both positions will work closely with construction delivery teams, subcontractors and project stakeholders to support efficient project execution through effective document control practices.
Key Responsibilities
- Deliver high-quality document control services in accordance with project and company requirements.
- Manage the receipt, registration, distribution and filing of project documentation across internal and external stakeholders.
- Maintain document control systems and ensure compliance with project procedures and standards.
- Assist with training project personnel in relevant document control processes and systems.
- Support the team with package compilation activities, including tender, contract and work packages.
- Provide site document control reporting inputs and summaries for the Lead Document Controller.
- Expedite outstanding documentation and deliverables from subcontractors.
- Contribute to the development, implementation and continuous improvement of document control systems and processes.
- Oversee the management, tracking and control of key construction documentation, including RLMUs, Site Instructions and Master Copy Management.
- Register and process site subcontractor records.
- Set up and maintain controlled master drawing sets for site activities.
- Assist the Completion and Commissioning team with the compilation of Completion Dossiers.
- Ensure assigned document control activities are completed accurately and in a timely manner, maintaining high-quality data inputs.
- Build strong working relationships with construction delivery teams and site subcontractors.
- Liaise regularly with managers to report progress, issues, risks and potential changes.
- Provide ad-hoc training and support to construction delivery teams on document control systems and processes.

What You Will Bring
- Relevant tertiary qualifications or significant practical experience in Document Control, Administration or a related discipline.
- Minimum 5 years' Document Control experience within major construction, infrastructure, engineering or similar project environments, including site-based roles supporting construction delivery teams.
- Strong Aconex experience is essential, including experience working across Aconex modules and Electronic Document Management Systems (EDMS).
- Proficiency in Microsoft Office applications and document management platforms such as Aconex and TeamBinder.
- Proven ability to accurately manage, maintain and retrieve project documentation, with a strong understanding of document control processes, filing methodologies and best practice.
- Well-developed organisational and time management skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- High attention to detail, sound judgement and the ability to handle confidential and sensitive information with professionalism and discretion.
- Strong interpersonal, communication and stakeholder engagement skills, with the ability to work effectively across project teams, subcontractors and external stakeholders.
- Self-motivated with the ability to work independently and as part of a team. Experience providing system support, training or guidance to project personnel will be highly regarded.
